Common Connection Errors
- “Trying to connect…”
- “Disconnected”
- “Cannot connect to server”
- “The connection to Microsoft Exchange is unavailable”
Quick Fixes
Fix 1: Check Internet Connection
- Open a web browser
- Try visiting any website
- If no internet, fix that first
- Check webmail works (outlook.com, gmail.com)
Fix 2: Restart Outlook
- Close Outlook completely
- Check Task Manager for OUTLOOK.EXE
- End task if still running
- Reopen Outlook
Fix 3: Work Offline Mode
Check if Work Offline is enabled:
- Go to Send/Receive tab
- Check if Work Offline is highlighted
- Click it to toggle off
- Outlook should reconnect
Fix 4: Restart Computer
Often clears connection issues:
- Close Outlook
- Restart computer
- Open Outlook
Profile and Account Fixes
Repair Outlook Profile
- File > Account Settings > Account Settings
- Select your account
- Click Repair
- Follow the repair wizard
- Restart Outlook
Create New Profile
If repair doesn’t work:
- Close Outlook
- Control Panel > Mail
- Click Show Profiles
- Click Add
- Enter profile name
- Set up your email account
- Set as default profile
- Open Outlook
Check Account Settings
- File > Account Settings > Account Settings
- Double-click your account
- Verify:
- Email address is correct
- Username/password are correct
- Server settings are correct
Connection Settings
Test Account Settings
- File > Account Settings
- Double-click account
- Click Test Account Settings
- Note any errors
Manual Server Configuration
For Microsoft 365/Exchange:
- Server: outlook.office365.com
- Port: 443
- Encryption: SSL/TLS
For Outlook.com:
- IMAP: outlook.office365.com (993, SSL)
- SMTP: smtp.office365.com (587, TLS)
Check Autodiscover
- Hold Ctrl, right-click Outlook icon in system tray
- Select Test Email AutoConfiguration
- Enter email and password
- Click Test
- Check for errors
Firewall and Security
Check Firewall
- Temporarily disable Windows Firewall
- Try connecting
- If works, add Outlook to firewall exceptions
- Re-enable firewall
Antivirus Issues
Some antivirus blocks Outlook:
- Temporarily disable antivirus
- Try Outlook
- If works, add exceptions for:
- Outlook.exe
- Email ports (443, 993, 587)
VPN Issues
VPN can block Outlook:
- Disconnect VPN
- Try Outlook
- If works, configure VPN exceptions
Authentication Fixes
Clear Cached Credentials
- Close Outlook
- Control Panel > Credential Manager
- Look for Microsoft/Outlook entries
- Remove them
- Reopen Outlook (will prompt for password)
Enable Modern Authentication
For Microsoft 365:
- May need to enable in admin portal
- Or update Office to latest version
- Modern auth is more reliable
Check Password
- Verify password on webmail
- If recently changed, update in Outlook
- Check for account lockout
Safe Mode and Add-ins
Start in Safe Mode
- Hold Ctrl while clicking Outlook icon
- Click Yes to start in Safe Mode
- If works, an add-in is the problem
Disable Add-ins
- File > Options > Add-ins
- At bottom, select COM Add-ins > Go
- Uncheck all add-ins
- Restart Outlook
- Enable one at a time to find culprit
Repair Office
Quick Repair
- Settings > Apps > Microsoft 365
- Click Modify
- Select Quick Repair
- Click Repair
Online Repair
If Quick Repair doesn’t work:
- Same location, select Online Repair
- Requires internet
- Takes longer but more thorough
Exchange/Microsoft 365 Specific
Check Service Status
- Visit status.office.com
- Check for outages
- If outage, wait for Microsoft to fix
Check Mailbox
- Try webmail (outlook.office.com)
- If webmail works, issue is local
- If webmail down, server issue
Re-add Exchange Account
- Remove account from Outlook
- Close Outlook
- Open Outlook
- Add account fresh
