Fix HP Printer Offline in Windows 11: Complete Guide

HP printers showing “offline” is the most common printer complaint we hear. Here’s how to fix it in Windows 11.

Why HP Printers Go Offline

  • Power or connection issues - Printer lost connection
  • Use Printer Offline mode - Accidentally enabled
  • Driver problems - Outdated or corrupted drivers
  • IP address changed - Network printer lost its address
  • Print spooler issues - Windows service problem
  • HP Smart app issues - Software conflicts

Quick Fixes

Fix 1: Power Cycle the Printer

Simple but effective:

  1. Turn OFF the HP printer
  2. Unplug power cable from printer
  3. Wait 60 seconds (not less)
  4. Plug power cable back in
  5. Turn ON printer
  6. Wait for ready status
  7. Try printing

Fix 2: Disable “Use Printer Offline”

Windows may have set printer to offline mode:

  1. Open Settings > Bluetooth & devices > Printers & scanners
  2. Click your HP printer
  3. Click Open print queue
  4. Click Printer menu at top
  5. Uncheck Use Printer Offline
  6. Also uncheck Pause Printing if checked

Fix 3: Set as Default Printer

  1. Settings > Bluetooth & devices > Printers & scanners
  2. Turn OFF “Let Windows manage my default printer”
  3. Click your HP printer
  4. Click Set as default

Fix 4: Restart Print Spooler

  1. Press Windows + R, type services.msc
  2. Find Print Spooler
  3. Right-click > Restart
  4. Try printing

Connection Fixes

For USB Connected Printers

  1. Unplug USB cable from computer
  2. Plug into a different USB port
  3. Wait for Windows to detect
  4. Try printing

Avoid:

  • USB hubs (connect directly to computer)
  • USB 3.0 ports sometimes have issues (try USB 2.0)

For WiFi Connected Printers

  1. Check WiFi connection on printer:

    • Print network configuration page from printer menu
    • Verify it shows connected with IP address
  2. Ensure computer and printer on same network:

    • Both should be on same WiFi network
    • Guest networks often can’t see printers
  3. Check IP address:

    • Router may have assigned new IP
    • See “IP Address Fix” section below

For Ethernet Connected Printers

  1. Check cable is firmly connected at both ends
  2. Check for link light on printer
  3. Try different Ethernet cable
  4. Try different router port

HP Software Fixes

Use HP Smart App

HP recommends their app for troubleshooting:

  1. Download HP Smart from Microsoft Store
  2. Open HP Smart
  3. Click your printer
  4. Click Diagnose & Fix
  5. Follow repair steps

Download HP Print and Scan Doctor

For more complex issues:

  1. Go to hp.com/go/tools
  2. Download HP Print and Scan Doctor
  3. Run the tool
  4. Select your printer
  5. Follow automated repair

Note: HP retired the old “HP Print and Scan Doctor” - use HP Smart’s Diagnose & Fix instead.

Driver Fixes

Update HP Driver

  1. Go to support.hp.com
  2. Enter your printer model
  3. Download latest Full Feature Software
  4. Run installer
  5. Restart computer

Reinstall HP Driver

For persistent issues:

  1. Settings > Bluetooth & devices > Printers & scanners
  2. Click your HP printer
  3. Click Remove
  4. Also remove from Device Manager if present
  5. Restart computer
  6. Download and install fresh driver from HP

Use Windows Built-in Driver

If HP driver causes issues:

  1. Remove HP printer (as above)
  2. Settings > Bluetooth & devices > Printers & scanners
  3. Click Add device
  4. Let Windows find printer
  5. Choose Windows driver if offered

IP Address Fix (Network Printers)

Reserve Static IP

Prevent IP address changes:

On Router:

  1. Log into router admin
  2. Find DHCP settings
  3. Add static IP reservation for printer’s MAC address
  4. Restart printer

On Printer:

  1. Access printer menu
  2. Network settings
  3. Set static/manual IP
  4. Choose IP outside DHCP range

Update Printer Port in Windows

If IP changed:

  1. Settings > Bluetooth & devices > Printers & scanners
  2. Click your HP printer
  3. Printer properties
  4. Go to Ports tab
  5. Click Add Port
  6. Choose Standard TCP/IP Port
  7. Enter printer’s new IP address

Clear Print Queue

Stuck jobs cause offline status:

Method 1: Settings

  1. Settings > Bluetooth & devices > Printers & scanners
  2. Click your HP printer
  3. Open print queue
  4. Click Cancel All Documents or right-click each > Cancel

Method 2: Command Line

  1. Command Prompt as Administrator
  2. Run:
    net stop spooler
    del %systemroot%\System32\spool\PRINTERS\* /Q
    net start spooler

Windows Troubleshooter

  1. Settings > System > Troubleshoot
  2. Other troubleshooters
  3. Run Printer
  4. Select your HP printer
  5. Apply suggested fixes

Disable SNMP (Advanced)

SNMP status checking can cause false offline:

  1. Printer Properties > Ports tab
  2. Click Configure Port
  3. Uncheck SNMP Status Enabled
  4. Click OK

Firewall/Antivirus Check

Security software may block printer:

  1. Temporarily disable firewall/antivirus
  2. Try printing
  3. If it works, add printer to exceptions

Common culprits:

  • Avast (known to cause printer issues)
  • Norton
  • Windows Firewall
